Transcript evaluation is careful, course-by-course work. Each transfer student's courses have to be matched to your own catalogue and checked against your grade and age rules, and every college grades a little differently. Here, the Registrar's office at Ravenford University, the university we use to show ALK at work, evaluates 12 transcripts for students transferring in January 2027.
Step 1 of 7
Start with your equivalency table

The Registrar's rules and Ravenford's course equivalency table sit next to the workflow: a C or better, or 60% where percentages are used, science courses from January 2017 on, 0.5 credit per course and official transcripts only.
Step 2 of 7
12 transcripts, every course read

ALK read 12 transcripts from four schools for students transferring in January 2027. 5 are ready to post, 4 need an evaluator and 3 are missing an official or complete transcript.
Step 3 of 7
Their pass mark, not yours

Sara Hollinrake earned 58% in Introductory Statistics at Brackwater College, where 50% is a pass. Ravenford needs 60%, so ALK gives that course no credit and lines up her other 5: 2.5 credits.
Step 4 of 7
The line on her transcript

Her transcript opens at the line ALK read: STAT 1750 Introductory Statistics, 58%, Winter 2025.
Step 5 of 7
The judgment calls go to a person

4 files need an evaluator: two Brackwater science courses from Fall 2014, two Marlowe courses that aren't on the table, a college that isn't on it at all, and two pass/fail grades from Spring 2020.
Step 6 of 7
Not an official transcript

All nine of Camille Ostrowe's courses match, worth 4.5 credits. Her transcript is stamped 'Issued to Student', so ALK holds the credit and drafts a note asking her to have Lakeport send the official copy.
Step 7 of 7
The decision: the evaluator signs off

Nothing reaches a student's record until the transfer credit evaluator approves it. In this batch that's 5 students and 17.0 credits, each with its course-by-course list.
What ALK checks in each transcript
- Student, sending institution, transcript type, issue date and every course with its term, credits and grade
- Whether the transcript is official and complete
- Each course against Ravenford's equivalency table
- Grades against the C minimum, or 60% where percentages are used, whatever the sending college's own pass mark
- Pass/fail grades, which go to an evaluator
- Science and math courses against the January 2017 limit
- Credits to post, at 0.5 per matched course
- Where each file goes next: request documents, evaluator review or ready to post
- The evaluator's approval before credit is posted
